Here are sample reports that we have created and use on a regular basis (also pulled from the main membership table): - Badges – Special – used to print large name badges for events - Badges – Luncheon – used to print smaller size name badges for events - Labels Bulk Mailing – used if we need to print labels for our monthly mailing – we have created several different types of reports that print labels – would follow this same format - Invoice – used to create monthly membership invoices – for upcoming renewals - Overdue Invoice – used to send monthly overdue invoices to members who haven’t yet renewed - Mentor Program – printed monthly and given to our Membership Committee for them to call the new members and welcome them and get them acquainted with HIA and the membership benefits Attached are samples of some of the queries we have created and use on a regular basis. All are pulled from the main “membership table”: - 8-22 Sales Seminar - An event query – used to print as a check in list for the event - Comp Tech Attendance - Committee attendance sheet – all Committee follow same format - Bulk Mailing – used to pull members with a certain member type which we send our monthly mailings to - Law Firms – this is one “Category” – used to pull members in a certain category – all members have a 3 letter code category (this one is LAW) - Membership List – used to pull just the members of HIA from the main table Here are the rest of the queries… - Membership Disk – this is a query of all of the members with all of the information that is published in the online directory (not necessarily all the fields in the main table) - New Members for Newspaper – used to pull the new members for a certain month with certain fields that we publish in the monthly newspaper - New Members for Website – same as above, just may be different fields (we may create queries of new members in several different ways to be published or used for different purposes) - Newspaper labels – this query is all members plus former and non-members who we mail the monthly newspaper to - PT’s for Board – this is a list of potential members that is printed for the Board meeting each month Attached please find a sample of HIA’s main membership database. incorporated with this database are the events. There are corresponding tables that explain the membership types, categories and committees. If you have any questions about what a column means, please don't hesitate to ask. Every month we run reports to print invoices for membership renewal invoices, change membership status (current to former, potential to non-member), etc. I can explain these to you in more detail at a later time. Also attached is an example of an event spreadsheet exported from the main DB. We need the ability to create events connected to the database, pulling contact information from the main db (similar to the way advertising or sponsorship tables will work). These events need to be created on demand, as we have multiple events a month. Each event requires 4 columns, although some need more. The first column is a simple yes/no so that we can pull all the registrants. The additional 3 columns need to have text entered. The other two databases we use are not connected with this main database (advertising & sponsorship). I will send you samples of each of them separately with some info about each. They are both separate tables in Access. The TS DB keeps track of all of the exhibitors, sponsors, etc. at the Show and the Programming DB keeps track of the breakfast, lunch and seminars that happen during the Show. Attached are schematics of the Advertising tables. This database is also in Access, but not tied to the membership and events. We need to run reports for monthly and overdue invoices, queries to see advertisers actions on a monthly and yearly basis, and also manage a table for our membership directory. This is how we would like the Advertising database to work - from the main database - I would like an advertising tab which would open up to a contact name including address phone e-mail, etc. (often, it is different from the person we have for membership main contact). I would like to see advertising history, monthly and yearly, for each company that places ads. I will also need a section to input advertisers on a per month basis with availability to put in an advertiser a year in advance for those who sign long term contracts. I will need to pull reports each month which list company names, ad size and amount. I also do yearly reports which list a month by month summary and yearly totals. I need to be able to e-mail everyone on a monthly basis - anyone who is scheduled for a particular month - to remind them of deadlines and when material is due. I also need to do invoices from this database.
